We have a tight schedule, and it's going to be a packed house. We need your cooperation to make everything run smoothly.

Here is everything you need to know, roughly in the order you need to know it:

Saturday

9:30 am – Sign in and breakfast begins 

10:15 am – Opening Session, intros and rules of the day, & intro speaker 

11:00 am – Greg Moore – NAACP Voter Fund  

11:30 am – Fill up session board  

12:00 pm – 1st  Session Begins 

1:00 pm – Lunch Break 

1:50 - Kevin Boyce, Ohio Treasurer

2:05 pm – 2nd Session Begins 

3:05 pm to 3:15 – Session Break 

3:15 to 4:15 – 3rd Session   

4:15 to 4:30 – Wrap up and Next Steps 

5:00 pm to 8:00 pm – Happy Hour?

 

Sunday

10:00 am – Sign in, breakfast, and people encouraged to add new sessions to the board.  

10:30 am – Brief recap of the 7th, review rules of the day and intros of any new attendees. 

11:00 am – 4th Session 

12:00 pm to 12:10 – Break 

12:10 pm to 1:10 pm – 5th Session 

1:10 pm to 2:10 pm – Lunch Break – Allow for mixing and conversation 

2:10 to 3:10 pm – 6th Session

3:10 to 3:20 pm – Break

3:20 pm to 4:20 pm – 7th Session

4:20 to 4:40 – Final Speaker

4:40 to 5:00 pm – Wrap Up and Evaluation 

  

When You Get There:

  • Sign in 
  • Consider making a donation to defray our costs. 
  • We will give you an info sheet that includes the schedule and how RootsCamp works.
  • Please pick up a nametag.
  • Once you're signed in, find a seat or grab bite to eat.
  • If you arrive early enough and are leading a session, consider taking a quick tour so you can see the size of the various session rooms.

 

The Main Room:

  • This is where we'll start the day. Introductory remarks shortly after 10.
  • Registration is full, and we will need every seat in the room. Please do NOT take an additional seat for your coat or other belongings. There are 3 coat rooms on our floor.

 

Three-Word Introductions:

  • This is a RootsCamp tradition, and the way we get through introductions as quickly as possible.
  • State your name, organization, city, and 3 words that capture your expectations, goals, vision, etc. for RootsCamp and/or for your work.
  • Examples: "Jane Doe, Military Families Speak Out, Toledo, VISION-TEAMWORK-WIN"  (or "TROOPS-HOME-NOW,"  or "NEED-MORE-COFFEE")

 

Meals:

  • Light breakfast and lunch will be provided both days.
  • Vegetarian options will be available. So we don't run out, please do not take the vegetarian option unless you need it.

 

"The Wall":

  • This is what we call the chart where you'll post your session topic if you plan to lead. First-come, first serve.
  • We will provide card stock on which you may write your session topic and tape it to the wall. 
  • When you write your session topic, be as specific as possible so that people know what to expect from your session. Write big so people can see the topic name without having to crowd the board. Clarifying details can be written smaller for those who wish to take a closer look.
  • You may find that someone else is proposing a session that is similar to yours. Consider consolidating.
  • Check The Wall throughout the day - new sessions may be posted as ideas are generated, and sometimes a session will be canceled or consolidated with another.
  • Capacity of the session rooms varies from 10 to 70. If you sign up to use the 10-person room and it turns out there are 30 people who want to attend your session, Staff will do their best to manage the situation. We ask that all RootsCampers be flexible as we accomodate the unexpected.

 

Sessions:

  • Room capacity varies from 10 to 70. Most rooms hold 30. Room arrangement (tables, chairs, etc.) is also variable. If you arrive early enough, you may want to take a quick tour of the entire floor to check out the different rooms that are available. Make a note of which rooms you feel will best accomodate your session topic.
  • Re-arrange the rooms as needed. You may wish to have a horseshoe of tables, or rows of chairs, etc. Ask your fellow RootsCampers for help moving these items so you can get into your session content more quickly.
  • Help us stay on schedule. Please wrap up your session promptly at the designated ending time.

     

 "Vote With Your Feet"

  • We want RootsCampers to get as much out of the day as possible, so there is an understanding at RootsCamp: "Vote With Your Feet."  That means that it's perfectly acceptable RootsCamp etiquette to leave a session at any time.
  • If you're leading a session and people walk out, don't take it personally.
  • Most commonly, they've discovered that your topic is simply not what they expected, and they feel they'd get more out of that hour if they attended something else.
  • Sometimes there are several sessions during one period that may interest someone. Some people decide to spend the first 30 minutes in one session and the next 30 minutes in another.

 

Privacy/Open Discussion:

  • RootsCamp is a place for open, straight-up discussion. This is the key to what is unique about RootsCamp - organizations and individuals talking to each other outside  the usual context we all operate in (the world of talking points, permalinks, and having one's comments recorded forever via YouTube).
  • Here's what makes that possible: every RootsCamper has the right to request during any session that his or her comments be considered completely off the record. If someone makes this request, please respect it - do not post their comments in a blog, etc. If you are recording the session or even taking detailed notes, you must stop until given permission to resume. Anything said under the "off the record" condition does not leave the room.
  • Do not hesitate to make the "off the record" request. 

 

End of Day Wrap-Up:

  • We will reconvene in the main room for brief wrap-up and closing.

 

How to Help Make RootsCamp as Green as Possible:

  • Carpool.
  • Recycle.
  • Bring your own coffee mug.
  • Bring your own reusable water bottle and use the drinking fountains instead of the bottled water we will provide with lunch.
  • Cut down on food waste: take only what you need, come back for seconds if you wish.
